The Big Dig – Planning Meeting Minutes Date: 17 July 2026

General Business

Sponsorship and Business Engagement

Discussion around approaches to various businesses

Both Auswide Bank and SpecSavers were to have a meeting to discuss major sponsorship.

Both have been offered naming rights in return for $7.5K (and major sponsorship for $5K without naming rights).  

However, to preserve our club's control both offers have been made "subject to Board approval".

Roger reported on Dero’s meeting with Auswide Thurs 16th at 2:30pm,
and SpecSavers had to bail as the relevant person was sick

Now we have agreed that D-Day (to decide whether to proceed with The Big Dig or not) cannot be left beyond the end of July, our club has only 3 more weeks to find at least another $8K of sponsorship.

Roger - if we are giving $50 pries to adults, then $4000 prize contribution will need to be $6000.

This permit is subject to the following being received by council by Friday 14 August 2026 or the permit will be null and void:
• Attached Temporary Event Approval Confirmation must be signed and returned to council
• Attached Indemnity form must be signed and returned to council
• Provide a copy of the Public Liability Insurance policy applying to the council-controlled land and the permitted activity, with limits of not less than $20,000,000 ($20 million) per occurrence and noting Sunshine Coast Regional Council as an interested party.

Logistics

PM have 40 - 50 people on site - we may need some extra volunteers 
We need to allocate tasks to see how we stand

Terry Landsberg’s $2,000 Discretionary Grant

Roger has been informed that the spending on “children’s prizes” would not be approved, but spending on logistics would be OK, so some quotes are needed, so we need to decide what best to buy in:

Deborah to contact Murray at Rhythm Expresso re A3 poster design

Deborah to send flyer to CoC for circulation

Poster QR code linking to the event webpage being established by Eduardo. The preliminary webpage will include ticketing and event information and requires further graphic and content development.

Roger to talk to the Malibu Club to see if they would be interested in supplying, erecting and dismantling their two 6x3 marquees, BBQ, PA, tables & chairs with and what would be an attractive price for them to do that.
 

I've increased the sponsorship from $5000 to $7000 and increased the prize contribution from $4000 to $6000 so “everyone” wins a prize
